Benefit Sentinel is a comprehensive SaaS solution for beneficiary data verification, using advanced technology to provide accurate, efficient, and automated matching with the Social Security Administration’s Limited Access Death Master File (LADMF). At the highest level, you may use Benefit Sentinel as an API web service or as a full-service SaaS.
Data Collected
In addition to collecting the data needed to query the LADMF, additional data elements may be user-defined to provide richer correspondence with the beneficiary. For example, a unique benefit office address or year of graduation. The Grok AI leverages this data in drafting correspondence.
Scope of Operation
The scope may be the entire United States or a single state. This setting drives the location settings for the default Case Worker. If Entire United States, Case Workers may be assigned by Territory or State. If State, Case Workers may be assigned by County or Zip3.
Case Triggers
For Double-Dip and Age-Related cases, you define the trigger that creates the case. For example, all beneficiaries under 18 years old or over 100 years old.
Case Priority
When a case is created, you set the priority for working the case. Options include: Revoke, Investigate - High Priority, Investigate, and Hold. You can also set a calendar day threshold to automatically close cases in Hold status.
Functions and Teams
In addition to case identification, you can include functions for: Correspondence, Appeal, and Due Process. You can add as many users as needed to support your operation. Each user may be assigned to one or more teams.
Correspondence
Starter templates are provided for each type of correspondence needed to support the selected functions and teams. You can then tailor these templates for your Account. As Cases are worked, these Account-level templates are used by Grok to further tailor a letter unique to the beneficiary. After correspondence is finalized, it is sent to a Mail Servicer (either PostGrid or Lob) for sending and tracking hard copy mail.

Matches return essential verification details like SSN, date of birth, date of death, method used to verify death, and name. Additional data, such as obituary or burial information, may be included when available.
Case Types

Matches with the Limited Access Death Master File (LADMF), listed in order of quality:
- By Social Security Number
- By Date of Birth, Last Name, First Name, and Middle Name
- By Date of Birth, Last Name, First Name, and Middle Initial
- By Date of Birth, Last Name, and First Name
- Double-Dip: The beneficiary has more than one benefit of the same type.
- Age-Related: The beneficiary is too young or too old (thresholds are user-defined).
- Not a Citizen: Requires citizenship data in benefit records.
Case Creation Triggers
- LADMF Push: When decedent data is supplied by the Social Security Administration.
- LADMF Pull: When you add new benefits.
- Double-Dip: When you add new benefits.
- Age-Related: When you add new benefits.
- Not a Citizen: When you add new benefits.
Case Assignment Process
- Following user-defined rules, the case is assigned a priority: Revoke, Investigate - High Priority, Investigate, or Hold.
- Following user-defined rules, a Case Worker is assigned to the case.
Case Workflow
- Creation → Investigation → Determination → Correspondence → Close
- An optional Appeals step is available.
- An optional Due Process step is available.
- Correspondence may be fully automated with PostGrid or Lob.
- Following user-defined rules, cases in Hold are automatically moved to Closed.
LADMF Push Statistics Overview
When decedent data from the SSA is added to Benefit Sentinel, counts are made of the number of decedent records added, changed, and removed. Counts are also made of each type of change.
If you have benefit data on file, counts are also made for:
- Number of new cases by triage category.
- Number of new cases by location and assigned Case Worker.
- Number of cases automatically closed because SSA removed the decedent record.
At the end of the run, a LADMF Push Statistics email is sent.
Grok, created by xAI, is the AI backbone of Benefit Sentinel’s determination and correspondence process. Grok reviews case data, drafts compelling determination letters, and recommends actions (e.g., revocation notices), saving significant staff time while ensuring clear, professional communication.
